Holiday booking
For employees
The Capture it™ holiday booking feature can be used anywhere and on any device. Staff can request holidays from the comfort of their own home – and in their own time!
They can see immediately what holidays they have booked and what their remaining entitlement is – saving you from the endless queries of “how many days holiday do I have left?”
Optionally employees can see if other team members have absence already booked or requested for the date range to avoid requests that will never succeed – removing wasted administration time and employee frustration. Naturally the details of the colleague’s requests are hidden.
The powerful functionality isn’t limited to holidays – Toil, flexi-leave and other absences can also be requested at the employee’s convenience in one secure and comprehensive solution.
For managers
Absence requests are sent to managers who can approve or decline them. Managers see the employee’s entitlements, the calendar for all employees in the team, and any skill shortages and warnings all on one page.
Approval is a fast ‘one click’ and your done process. Employees are notified by email whether their request has been successful or not.
Absences pending approval are visible in the Capture it™ attendance calendar, and once approved are automatically updated to be confirmed holidays (including all hours for payroll etc.) - no double entry required.
The comprehensive workflow engine allows simple and effective routing of requests including alternate approvers (for instance if a manager is on leave) and multiple approval levels if required.
Timesheets
For employees
Employees can submit and review their timesheets – day by day or several days at the same time - whichever best suits the organisation. Day by day completion encourages accurate recording and helps eliminate forgotten data.
Timesheets support not only support recording in and out times, but also recording breaks and – if required – project/job/task level information.
Timesheet recording is particularly suitable for applications such as field engineers, professional staff visiting clients and project-oriented organisations where recording staff time vs funding streams is required.
Timesheets can be completed on multiple device formats such as mobile phone, tablet, pc or Mac and in any location – such as the employee’s home, office or even vehicle.
For managers
Managers can view timesheets on a person-by-person basis making review and authorisation easy, fast and convenient.
If the timesheet includes changes from previously recorded data, the manager can see not only the changed data but also the originally recorded data. This assists in validating the accuracy of the change and their subsequent approval or rejection.
Multiple days (or even weeks) can be authorised or rejected in an easy one-click process – maximising the manager’s efficiency and reducing wasted time and effort.
Once authorised the timesheet is written directly into the live Capture it™ data and straight to payroll or flexitime calculations eliminating the data entry of paper timesheets – again saving time and money.
Clocking review and amendment
For employees
Employees can review their recorded clocking data – for example from traditional clocking terminals or web-based solutions.
The employee has visibility of the bookings to understand their recorded hours. This reduces administration time for managers and payroll staff as employees’ queries are now reduced.
Optionally the employee may be allowed to request corrections or amendments to their recorded time. A common example of this is where the employee has forgotten to clock out and requests a correction for the missing clocking. This allows the organisation to shift the responsibility to the employee to make sure their clockings are complete and gives them an easy-to-use simple tool for doing so.
In a project/task-based environment the review basis also allows the employee to validate their bookings to tasks/projects and request correction to any inaccurate bookings improving data accuracy.
Naturally any request requires authorisation from the employee’s supervisor.

Flexitime Management
If an employee has access to timesheets, holiday booking or clocking and they are a flexitime employee then they can check their own period balances on whatever device they are using. A very useful feature is that the employee is alerted to hours that they will otherwise lose due to a period cap/limit at the end of the period.
The employee can easily monitor their flexi balance and establish if they have enough credit to book flexileave. If the employee has access to absence booking, they can also book the flexileave.
If the employee has access to timesheets or clocking review they can also drill down into their past clockings to understand how the flexitime balances have been derived. This can help remove queries to admin staff/managers.
Time Clocking
Intuitive clocking from anywhere and on any device, staff can clock in, clock to and from lunch and clock out.
Staff can clock in from their desktop in the office or on their mobile phones if working from home or in a remote location.
Perfect for staff that work in a hybrid manner or field service staff.
When coupled with the powerful Capture it™ job costing module staff can book to jobs/projects/tasks without any paperwork or knowledge of job/project codes thanks to the innovative design of this highly focused tool.
Job/project booking
In conjunction with the powerful Capture it™ job costing module, self service enables staff to book to jobs/projects/tasks without any paperwork or knowledge of job/project codes using a variety of methods that can be mixed and matched as appropriate to the operational environment for the particular staff member.
Outside of self-service, recording jobs/task/project for traditional shopfloor environments booking via traditional terminals can also be catered for.
Naturally the bookings from whatever source update the common job data – allowing sales, design, workshop, installation and field service staff to be recorded against the project/job in one unified solution.
