Getting all that data from a time and attendance system to payroll doesn’t have to be a time consuming task

The Payroll LinkDoes this sound familiar? It’s a few days from payday and the person responsible for payroll, typically ‘finance’ or HR vanish into a ‘no-go zone’ and refuse to speak to anyone whilst they slowly suffer the pain of trying to sort out and process the weekly and/or monthly payroll. They eventually emerge, bleary-eyed and unhinged, desperate for several cups of tea/coffee, half a pack of biscuits and a bit of a cry in a dark room to recover.

Even if you have the best time and attendance system in the world, it can still be a time consuming, hellish job trying to get all that information off the system and transferred into payroll. Manually having to input this information is open to keying errors and mistakes and ties up employees who could be better spending their time on other tasks. Also, if errors occur that result in an employee being underpaid then you will soon be informed (by that employee), but we do not suppose you have many employees letting you know they have been overpaid!

To help address all these issues, wouldn’t it be incredibly useful if there was a bit of software that could automatically transfer information from the time and attendance system into your payroll program? Of course it would, and we have just the thing!

The Payroll Link works with all the major payroll services, including Sage, Pegasus and Earnie/Iris. If you have a different payroll service, then fear not, we can almost certainly make it work for you with a little ingenuity! Put simply, the Payroll Link is there to take relevant payroll data from the time and attendance software and transfer it seamlessly into your payroll software.

IrisDuring initial set-up, data fields in the time and attendance system are linked to corresponding data fields in the payroll system. Which fields are linked will depend on how an employee’s pay is constructed. For example, in the case of hourly paid employees you will probably be transferring basic hours, overtime hours, sickness and holidays, whereas in the case of monthly paid employees you will probably already have a salary set up in the payroll and therefore only require ‘adjustments’ to that salary to be transferred. Either way, once your various transfer profiles have been set up you are ready to go, radically reducing your payroll processing time. In using the Link to Payroll your finance/HR team has gone from performing laborious data transfers and endless calculations to simply having to review the data and then press the ‘go’ button.

So there you have it! A way of saving time for your finance or HR team whilst removing the risk of keying errors, making your business more efficient and prevent tears and tantrums.
