FAQs
Discover the most frequently asked questions about time and attendance.

How can I track time and attendance?
Tracking time can be tailored to your specific workplace environment. With Capture it™, you can use several methods:
Proximity Fobs/Cards: Quick ‘tap and go’ clocking for busy entry points.
Mobile App/Website: Perfect for remote or field-based staff using GPS geotracking.
Desktop Clocking: Ideal for office-based employees working directly from their PCs.
What is the Bradford Factor?
The Bradford Factor is a mathematical formula used in human resource management to measure employee absenteeism. It’s based on the theory that short, frequent, and unplanned absences are more disruptive to a business than longer, occasional absences.
The formula is calculated as: S(2) X D = B
S is the total number of separate absences by an individual. D is the total number of days of absence of that individual. B is the Bradford Factor score.
Is Capture it suitable for large, multi-site organisations?
Absolutely. Capture it™ is designed to scale. It can manage multiple locations under a single centralised system, allowing head office to view real-time data across various branches, factories, or regions while giving local managers control over their specific teams.
Can I integrate Capture it™ with our current payroll system?
Yes. One of the biggest ROI drivers for our software is the ability to eliminate manual data entry. Capture it™ integrates seamlessly with all major payroll providers (such as Sage, Iris, Earnie, Moorepay and others), ensuring that the hours tracked are exported accurately for a ‘right first time’ pay run.
Can I manage both permanent and agency staff using Capture it™?
Yes. The system allows you to categorise staff types differently. You can track agency worker hours for invoice verification while managing permanent staff against their specific contracts, holiday entitlements, all within the same interface.
How does automated time tracking improve ROI?
Manual time tracking is prone to human error, often costing businesses between 1% and 3% of their total payroll. Automated software like Capture it™ ensures you only pay for the time actually worked, automatically calculates overtime, and reduces the administrative hours spent on manual data reconciliation.
Does Capture it support hybrid and remote working?
Yes. Modern workforces require flexibility, and Capture it™ provides multiple ways to track time outside the four walls of an office:
- The Mobile App: Employees can clock in or out from their smartphones.
- Geotracking: You can see where workers have clocked in and out on a map.
- Web Browser Access: Staff can record their start times, breaks, and project hours directly from their laptops.
- Real-time Visibility: Managers can instantly see who is ‘in’ (whether on-site or remote) through a live attendance dashboard.
How do I reduce manual admin in my HR department?
Capture it™ targets the admin burden of a manual HR department by automating the most repetitive tasks in the lifecycle, including:
- Self-Service Requests: Employees request holidays or report absences through the portal, which managers can approve in one click, automatically updating the team calendar.
- Automated Overtime: The system applies your specific company rules to work out overtime, removing the need for manual calculations.
- Exception Reporting: Instead of checking every timesheet, HR only needs to look at ‘exceptions’, such as someone arriving late or missing a clocking.
- Direct Payroll Export: By pushing data directly to your payroll software, you eliminate hours of manual data entry and the risk of typo errors.
How does Job Costing work?
Job costing allows you to see exactly where your labour budget is being spent by linking attendance to specific tasks or projects.
It works in three simple steps:
- Allocation: When an employee clocks in, they select a specific job, department, or cost centre (e.g. Project A or Machine 4).
- Tracking: The system records the duration spent on that specific task, including any breaks or shift premiums.
- Analysis: Management can then run reports to compare the actual labour cost against the estimated budget. This helps identify which projects are profitable and which are costing more than expected in manpower.
- Proactive Alerts: Job Costing software helps managers manage budgets effectively by sending out notification emails when a job goes over budget.
