How do I clock remote workers?

When you’ve got staff out on the road or working from home, how can you be sure of the hours they’re actually working?

According to a study by Stanford University, 50% of remote workers believe they are more productive working from home than the office. Mikogo also reports that, according to a study by Intel and Dell, perceptions on Remote Working is shifting, with more companies and employees seeing the benefits of working “away from the office.”

However, with the increase in remote workers, it can be a difficult situation trying to record the hours of those who are working away from the premises. You may have home workers, sales representatives, drivers, engineers or installers who need to work remotely, and recording their working times so you know what to pay (or credit) them can be a source of stress, plagued with inaccuracies. Fortunately, there are solutions available that can make dealing with the Time & Attendance of remote workers much more accurate, easier and far less stressful.

If your remote workers have a company mobile device, then the Mobile Clocking Utility is a very reliable solution. A remote worker is able to use the mobile device to make a clocking by simply clicking on the app installed on their phone, and then inputting their username and password. Workers can clock on and off, as well as clock for activities such as travelling, lunch and onsite. Mobile Clocking comes with Geolocation which records the postcode location of an individual whenever they make a clocking (which avoids the issue of a remote worker clocking on whilst halfway down the motorway, or still at home when they should be onsite!). You can install the Mobile Clocking Utility on any mobile device, including phones, tablets, and even devices installed in trucks and vans.

Another option is to use the PC Clocking Utility which is particularly effective for those who travel with a laptop or work from home. The employee simply logs in using their username and password via the web app installed on their computer or laptop. They can then make clockings and even change their status (for example, busy, in a meeting, travelling, on the phone, and so on). All that is required at the time of making a clocking is access to the internet.

The great thing about these remote clocking solutions is that an employee is not limited to just using these methods of clocking. For example, an employee could clock in using an office-based clocking method, then leave the building and later clock out using their mobile device or web-based system. All clocking information is updated on the system in real-time, giving you up-to-date information on the status of all your remote workers. Employees can even clock on and off jobs is used in conjunction with our job costing module.

In every sense, these remote clocking solutions greatly reduce inaccuracies, can save you hours of administrative work such as trying to input numerous time-sheets into payroll systems, and they eradicate the issue of remote workers giving false times and costing you money.
