If your workforce is on a salary, then doesn’t that render a Time and Attendance system redundant? Far from it…
A quality time and attendance system can do a lot more than simply calculate hours worked by an hourly-paid workforce. In fact, it can be an integral part of recording and monitoring salary paid employees too. Here’s a few examples of how a time and attendance system can help you with managing a salaried workforce;
Fire Roll Call
Keeping track of who is in work and who isn’t enables you to maintain an accurate fire register. It may be tempting to simply do this manually via a fire register board, or even by hand, however this is open to inaccuracy, human error and plain forgetfulness. A time and attendance system will record information on who is currently present at work in real-time, and it will do so accurately. It can also go an extra step, keeping track of who is currently “working” but may not be on-site (outside sales reps, popping out on an errand, etc.). You can even compartmentalise a fire register for multiple buildings, so you know who should be in which office when the fire alarm activates. The safety of your employees should always be a priority, and a good time and attendance system goes a long way to helping you keep your workforce safe.
Flexible Working
Not to be confused with flexitime, flexible working is often a necessity with salaried employees. Often, it may be agreed for an employee to come in earlier than usual in order to leave earlier in the afternoon for personal reasons or commitments. Similarly, an employee who might need to start work later than usual may come to an arrangement to work later in the day to make up the hours. It would be beneficial to have records of these exceptions to the standard working times. It helps to make sure employees are still working their contracted weekly hours, it keeps a record of all agreed changes to start and finish times and it provides hard data in the event of disputes.
Lateness & Sickness Management
Keeping track of employee sickness is still important even with Salary paid workers. Similarly, noticing lateness can be difficult without a way to monitor and record it. Time Off In Lieu is where an employee works extra hours in order to accrue time off later; perhaps as a request or during quieter periods. Recording how much extra time an employee has worked is critical in this situation, and being able to track this individually for an entire workforce can be a difficult task. A time and attendance system can record any extra hours worked and provides you with this information at any time. The next time an employee requests an afternoon off, you can simply check the system to make sure they have accrued enough time and if so, deduct the time accordingly.
